Corporate Services Coordinator

Position Overview

Reporting to the Director, Finance & Administration, this position plays a vital role in ensuring the smooth operation of our office and supporting key corporate activities.  This role offers opportunities to gain experience in corporate governance, executive administration, financial processes, and organizational operations while working alongside senior leaders. The successful candidate will serve as a key point of contact for staff and visitors, while helping to maintain the high standard of service and professionalism that supports C-CORE’s success.

Key Responsibilities

  • Provide front office, administrative, and operational support to ensure the efficient day-to-day functioning of the organization.
  • Provide administrative support to departments across the organization, including the preparation, formatting, editing, and management of corporate documents, proposals, reports, and presentations.
  • Support onboarding activities for new employees and students.
  • Support financial administration activities through the reconciliation of corporate credit card transactions and the review and processing of employee expense claims.
  • Coordinate and provide administrative support for Board and Committee activities, including meeting logistics, materials preparation, governance documentation, and stakeholder communications.
  • Maintain Board and corporate records, ensuring documents and annual returns are filed in a timely manner.

 

Qualifications

  • Diploma in Business Administration, Office Management, Administrative and Secretarial Studies, or a related discipline.
  • Formal training in Microsoft Office applications
  • At least three to five years of relevant experience in an administrative, office support, or corporate services environment.

Assets

  • Experience supporting Boards, Committees, or governance activities.
  • Experience with expense management and financial administration.
  • Experience coordinating events and corporate meetings.
  • Experience working in a professional services, research, engineering, or technology environment.
  • Experience preparing meeting minutes and maintaining confidential records.

 

Skills & Abilities

  • Strong proficiency with Microsoft Office 365 applications, including Word, Excel, Outlook, PowerPoint, and Teams.
  • An excellent relationship builder with strong interpersonal skills.
  • Excellent written and verbal communication skills.
  • Highly organized and able to manage multiple priorities and deadlines independently.
  • Superior attention to detail and commitment to accuracy.
  • Professionalism, discretion, and the ability to maintain confidentiality.
